Valuations & Interim Payment Applications

Interim payment applications submitted on time and at the right level are the commercial lifeblood of any contract. Applications that undervalue the works leave money in the client's pocket longer than it needs to be; applications with missing support get reduced or disputed.

I prepare interim payment applications based on the contract terms — whether that's a priced BOQ, schedule of rates or cost-reimbursable mechanism — with full supporting information to maximise the certified amount. This includes on-site measurement where required, materials on site, loss and expense if applicable, and any agreed variations.

Variation Assessments & Change Management

Variations are where contracts are won and lost. Instructions that are not captured, priced and agreed promptly become disputes. Instructions that are priced correctly — with fair rates built up from first principles, not rules of thumb — recover the actual cost and maintain the project margin.

I assess variation instructions against the contract (BOQ rates where applicable, fair rates where not), prepare the supporting measurement and cost build-up, and manage the negotiation and agreement with the client's QS. A variation log is maintained throughout the project so nothing gets lost or overlooked at final account stage.

Final Account Preparation & Negotiation

The final account is the culmination of every interim valuation, variation, loss and expense claim and re-measurement made throughout the project. Left until the end with disorganised records, it becomes a prolonged argument that erodes both the margin and the relationship.

I prepare contractor's final account submissions in a structured format — contract sum, variations agreed and pending, loss and expense, re-measurement where applicable — and lead or support the negotiation with the employer's QS. The goal is an agreed final account figure that reflects the actual scope delivered and the actual costs incurred.

Subcontractor Procurement & Package Management

Once the main contract is won, the subcontractor packages need to be let quickly and at the right number — the difference between the tender-stage estimate and the actual subcontract let price is where the job can be made or lost before a brick is laid.

I prepare clear scope of works documents for each trade package, issue enquiries to subbies, chase and analyse returns (comparing on a like-for-like basis, not just the headline number), and produce letting recommendations. This ensures you know what you're buying, at what margin, before you place the order. Subcontract orders and schedules of rates are also prepared where required.

Cost Reporting & Forecasting

A live cost report gives directors and project managers a clear picture of where the job is commercially — what's been committed, what's been certified, what the forecast final cost is and what the expected margin is against the original tender. Without it, cost overruns accumulate silently until they surface at the final account.

I produce monthly cost reports in a format suited to the project and the business — budget versus actual versus forecast, committed costs, variations included and pending, cash flow forecast. These are practical working documents, not formatted for show — they give you the information you need to make commercial decisions and spot problems before they become losses.

Subcontractor Payment Valuations

Assessing subcontractor payment applications correctly protects your cash position. An application that overpays a subcontractor ahead of the work being done — or one that is disputed and results in a payment notice default — both carry commercial risk.

I assess subcontractor applications against the subcontract terms and the work actually carried out — on site if needed — and produce payment notices in the correct form and within the required timeframes. Pay less when applications are inflated; avoid default payment notices when the process is followed correctly.
